Candidate data

What we hold about candidates, on what basis, and how it is removed.

Two kinds of candidate reach your account, and they are governed differently. Confusing them is the most common mistake in this category, so the product keeps them apart and so does this page.

Candidates who applied to you

Someone who applies to one of your roles is your applicant. You are the controller of that relationship. We process their data to run your hiring: parsing the résumé, assessing them if you invite them, scheduling and recording interviews you run, and keeping the pipeline.

Candidates in the marketplace

Marketplace profiles belong to candidates who have consented to being discoverable by employers. Consent is checked at the point a profile is returned, not at the point it was collected, so a withdrawal takes effect immediately rather than at the next sync. Contact details are withheld until you reveal the candidate.

Candidates from a job portal

Portal search runs against a portal's database using your organisation's own seat. Those results are governed by your agreement with that portal. We pass the query and render the response; the licence, the quota and the relationship are yours.

Retention and removal

  • Candidate records, assessment reports and conversation history are exportable while your account is active
  • Candidates may ask us directly to correct or delete data associated with them
  • We review a request across the candidate profile, hiring records, communications, call records and stored files rather than treating one database row as the whole record
  • We confirm the outcome and explain any data that must be retained for legal, security or transaction-record reasons

Candidates can raise a request directly with us. We do not require them to go through the employer that found them.
